Subject: Sales orders are posted to the ledgers using the date on which the integration was setup instead of the transaction date
Summary:
1. Problem Details

When sales orders are integrated into Jiwa, the sales order's initiated date in Jiwa is the actual transaction date that came in through POS. However, when these sales orders are processed, the posted dates change to reflect the integration date (the date the integration was created).

The problem with the above is that the transaction date does not match with the posted date. This is an issue because 2017 transactions are being posted in 2018 causing transactions to reflect in the incorrect financial year.

2. Error Message (Include screenshot of error)

Figure 1: POS Transaction - Date is 29/08/2017

Figure 2:
Sales Order in Jiwa - Initiated Date matches the Transaction Date in POS

Figure 3: Journal Set - Posted Date does not match the Transaction Date

Hi Karishma,

This is not an issue with LinkSOFT. Please goto JIWA support for advice.

Alvis

Hi Alvis,

I have tested this case in the Jiwa demo environment without having integration setup:

  1. Created a sales order in Jiwa
  2. Put the initiated date as 28/08/2017
  3. Processed the sales order
  4. The journal set got updated with the transaction date ie. 28/08/2017

Note: The sales order posted date is the same as the initiated date

From the above results, the issue mentioned in the case header does not seem to be an issue from Jiwa's end.

Requesting if we can schedule a time to discuss this case further. Please advise.

Regards
Karishma

Hi Karishma,

Can you create a sales order in EXTRA JIWA and POST. Send me both screenshots showing sales order you created in JIWA and a sales order flowed from POS.

I need this to be in the same database so I can isolate where the issue is.

regards
Alvis

Hi Alvis

I have replicated the issue in the setup done in QA2.

Refer below for screenshots:

Figure 1: Sales Order Created in Jiwa - Initiated Date = 31/08/2018

Figure 2: Journal Set Posted as a Result - Initiated Date = Posted Date

Figure 3: Sales Order Flowed from POS - Initiated Date = 01/09/2017

Figure 4: Journal Set Created as a Result - Posted Date (01/06/2018) is different from Initiated Date

Development work for this case has been completed.
The change will be available in version: 9.4 beta4

1. The following changes were made(Include Database object names, Program classes and any other relevant information):|

  1. Corrected the issue in the JIWA integration API script.

2. The issue was caused by:

  1. Sales orders created in JIWA had the date posted defaulted to current machine date. This has been corrected in beta4 to use transaction date.
