Summary:

Use the following steps to set up proportional leave accrual system

Checks to perform:

Step 1.Create a new leave code in menu 311-2, enter the required data, with the accrual type as proportional and have one time accrual as No – for the leave to accrue every pay period.

Step 2. Open menu 311-1 Pay code and select the pay code for which you want leave to be calculated and select yes to calculate leave

Step 3. Repeat step 2 for all the pay codes for which you want leave to be calculated.

Note: Proportional Accrual is useful for calculating the total accrual when an employee works different hours or days per week. Using this method, employees accrue annual leave units in proportion to the number of units they actually work (Total of Pay code hours which has yes selected for calculate leave).

The following formula is used for calculating leave on accrual basis

Formula : Accrual = [ Entitlement/ [Pay Frequency * Hours per pay]] * hours worked

Scenario:

An employee’s annual leave entitlement is 3 weeks (120 hours) and hours per week - 40 hours.

If this employee works 4 days a week (32 hours), Proportional Accrual calculates:

[120/[52*40]] * 32 = 1.846 hours (weekly entitlement)

Step 4. Allocate the leave to the employees who are entitled to the leave code created in step 1.
