1.       Pin Code by Driver for a Single Card

Single Card with multiple pins: One vehicle can be refueled by many drivers in an organization.
Refer to Figure 1.1 below for details of this. We need to capture this information at the POS level for reporting purposes.
 
These driver details captured at the POS level will be reflected in the fleet statement. (Refer to 6 below)

2.       Fleet card restrictions by product types.

Below are the Product Types:

  • Wet Goods
  • Dry Goods
  • Services

Each of the Product types will carry its own limit. At any point in time, the customer should not be able to exceed the fleet limit and the customer limit set.
Business Scenario: Vodafone Fiji has 6 cards and below are the respective limits by product type.

Based on the above setup, the system should be able to restrict the purchase of fuel, dry goods, and services.

3.       Mileage tracking for fleet cards assigned to individual vehicles

a) At the moment mileage is not mandatory. We need control to set mileage as mandatory on selected fleet cards.
Validate mileage to ensure it's always greater than the previous one for this vehicle.

When The card is defined as “Pool”, mileage recording is not mandatory.

b) Mileage Limit - Vehicles are allowed a certain mileage to travel in a month. The system is to record the opening mileage of the month and keep track of the mileage every time the fuel is filled.
In an event where the mileage exceeds the limit, authorization will be required. It will be the responsibility of Service Station Attendants to check for this limit before filling.
Mileage limit should be a configurable option as some customers do mileage tracking and some don’t.

5.       system interface with Mobil SAP System.

6.     Fleet Management Reporting


6.1 A sample statement report which includes consumption history.
6.2 Individual vehicle summary.
6.3 Stating the date, time, location, volume prefill, with mileage details and costs per kilometer for the vehicle.
6.4 Company fleet summary.
6.5 Stating the total fill per vehicle per month and the average cost per kilometer for a vehicle for the month and the cost per kilometer.
6.6 Performance history report.

Below are the changes required in our existing report

             Change the alignment from Portrait to Landscape:

             Add Driver details beside the transaction number to identify which driver refueled (Review part 1 for this).

             Add consumption per 100 Liters at the end of every vehicle. This will not be populated for fleet cards where mileage is not mandatory.

    7.       Excel Reporting

    On the 10th day of the month, the Dealer will provide a Fleet Card report to Mobil in excel format containing the following information:

    • Name of the Customer
    • Fleet card customer number
    • Transaction date and time
    • Transaction authorization number (i.e. Point of Sale (POS) invoice number)
    • Vehicle registration number/driver name (where applicable product/service)
    • Product
    • Quantity
    • Unit price
    • Total invoiced amount
    • Odometer reading

    8.       Vouchers

    If a customer shops at any of the stores up to a certain amount, they can get a voucher for fuel discounts at any of the service stations.
    Example Customer Purchases from the retail store worth $500. At the end of the receipt,
    there will be a voucher number stating customers will receive 1cents off for every liter of fuel at any of the service stations.
    Need a facility to discount fuel purchase using Vouchers.

    9.       Loyalty Program:

    Integrate into the existing loyalty program.

    9.1.    Need a scheduled job to create a text file (Comma Delimited) to pass customer number, Invoice Number,
    item details (Description & Quantity), Line Amount. Users can tweak the schedule as per their requirements.

    10. Two levels of customer categorization to be introduced

    a) 1st Category to identify who the customer was referred by.
    b) 2nd Category is to identify if the customer is a postpaid or prepaid customer.

    The above two categories will be used on a few reports as parameters. L is yet to provide the specific report that will require moL Fleet Enhancement

    4. Customer Portal Development:

    The customer can perform the following actions:

    4.1 Request for Increase/Decrease card limits.
    • Once a request has been submitted, the admin team will review and either approve or reject the request. Customer to be notified of the decision
    • The customer should be able to track the status of the requests
    4.2 Apply for Credit Limit. Refer to attachment "Application for new cards.pdf" for the current manual form for the requirement.
    • All fields will be required for the application to be processed
    • Final submission to indicate it's electronically signed by the company user logged in.
    4.3 Customer should be a to "Request to revoke an existing card".Admin to review revoke requests and customers to be notified after the card has been revoked.

    4.4 Ability to change card pins. This does not require any approval.

    4.5 Account inquiries:
    • Ability to view customer profiles
    • View fleet cards and limits
    • Balance Check for Fleet, Product Type, and Customer Limit Balance.
    • Downloading of Customer Fleet reports and statements in excel and PDF.
    4.6 Ability to lodge complaints online and followup.

    1.1. We check the transaction total and customer available balance.

    1.2  We allow proceeding if sufficient payment is taken and is within the available balance.

    1.3 If the user has the authority to override the credit limit, we allow this sale.

     

    2. Fleet card sale. product limits apply

    2.1 Get Totals by category from the OrderLineJSON. If any totals exceed, then authorisation is required. Validation message explains the issue.

      1. When processing a Fleet Card, the Product Limits are checked. If the product limit passes, the Card Limit is checked.  If the card limit passes, the customer limit is checked.
      2. If Product limit is not set, user authorisation is requested
      3. If Products are not set for a card, user authorisation is requested
      4. If the card, product or customer limit has reached or is exceeded, the customer can either:
        1. Make a payment of the difference between the limit and the available OR
        2. Provide user authorization
      5. When user authorisation is successful, the Order notes contain details of who authored (override) the limit
      6. The Order notes are shown in the Fleet Management ~> Mileage tab
      7. The Fleet card and Product limits are affected by the Invoice and Returns process only. We DO NOT increase the limit if a payment is made in between ROLLOVER Periods

    7. When a transaction that has discounts is LOADED and Copied, we clear Vehicle, Coupon and Discount voucher details. Users are required to scan their Fleet card, discount vouchers and loyalty cards when completing their transactions
    8. We allow you to "Park and Load" Fleet, Discount Coupons and Loyalty details
    9. Fleet cards must be scanned before completing the sale (and after all the relevant transactions are added)
    10. Transactions added after the Discount Voucher scan will not get the discounts
    11. To Scan the Discount Coupon, the barcode or Card Reader must have the format: {DiscountCoupon.Identifier}DiscountCouponCode{DiscountCoupon.Identifier}
