For the versions of our software you are using there is no API

It seems that we will need to create a query that extracts all invoice header and detail information so that Linksoft can consume this data. I suspect you need a little more that just the invoice information (for example you will need customer name and address, and product descriptions also I suspect)

Perhaps you could put us in touch with Linksoft and we can work out how to get them the data they need

Hi Andrew,

Here is a high-level workflow of how this will need to work. We can have a conference call to plan the next steps when you are ready.

For TIMS compliance, we will need the following:
  1. A web API to call so we can get transaction Details (JSON format), OR if you are using MSSQL, we can use a procedure to get the transaction details
  2. A mechanism to inform your system if an invoice gas been successfully signed. Either a Web API or SQL Procedure will work. I will send you the Transaction ID with Success or Failure
  3. Whenever I call 1. above, you will send me all transactions that have not been sent since the last extraction. Our system will handle failures and the Audit requirements for TIMS.
I can send you the transaction details required once we establish how we handle the transaction extraction.

  2. Quotations
  3. Returns
  4. Credit Notes

For the first SPROC we will likely need data from multiple table to gather the information you need.  Do you have a schedule of all the fields you need for an invoice?

Hi Andrew,

We have both options. I believe Ah Liki is using the  On-Premise version.

I can provide you with documentation on what fields are needed for each document type once we have the NDA and Engagements done.  We have done this for Vodafone and other customers using SQL Procedures so we expect this to be fairly straightforward.

Let me get our Fiji office to organise the contracts so we can take the next steps.

A proposal has been sent to the customer and there is no issue with pricing., However, this project has gone on hold due to TIMS extension on 

implementation date by IRD Samoa until 01.01.2021.

Thank you for the quick response. 

Please refer to the email from Andrew Dove on the 24th of August (see figure 1 below) confirming that the procedures will be completed by your team as you have the knowledge on where the data is. 
The templates we have provided are the minimal data set that is required to achieve document signing and audit by TIMS.

I will let Sitla discuss the timeline with you. We have completed the development work on our end based on the minimal dataset we require. We will tweak our end as required, however, I am hoping there will be minimal deviation from the result set we require. Let's discuss this further as soon as you are available. By cc: to Sitla, can you please arrange the initial meeting?

With regards to products, we will not need the product master file as TIMS only needs to know the "description" of the item. 

We will require the customer master file (minimal set - see procedure name: LT_ARMaster_Select) to handle TIMS AUDIT requirements.  Customer numbering is not that important as TIMS identifies B2B using the Tax File Number (TFN), and any cash sales will be treated as B2C (identified by the absence of TFN)

Hi Guys,

I trust you are all well.

I have asked Nicola about questions you had over GP and the refund process

The refund process is done separately so an invoice is created with just the return or refund listed. It is NOT combined with a sales invoice.
The TAX code is used is just GST for all products sold from the trucks. The only exception is on the Island of Savaii were an extra 2% sur charge is added to the invoice.
TAX is calculated at the total section of the GP invoice and not on the line items

Let me know if you have any more questions? I have cc’d Nicola so she could elaborate on any financial and processes I am not aware of.

Hi All. I have completed the Development work and have an Upgrade script ready to deploy to the AhLiki Production System.

I am not sure about deploying this to Test, I may need to do some additional work to check the status if the Test System as we began Developing a solution in the Test System for a “Talofa Voucher” System that never really went live after a few iterations.

If we want to use the Test System Initially I will need to take a copy of that Offline and make sure I am clear on any variances we have between Test and live.

Attached is some more comprehensive documentation.

The Spreadsheet tracks in detail where the data from the Source DSD HH system Tables is used for the TIMS Columns.

Thank you for the update Greg,

A testing environment will be required as the TIMS certificate we have is a "TEST MODE" certificate. Once we pass the certification test cases, we are ready for production.

Once we have a test environment, we will run the 8 test cases TIMS requires and verify that the documents are correctly signed. We will also run a battery of test cases and introduce failures so we know how to handle these situations in production.

Here is what we will need:
  1. You mentioned you are using staging tables to hold data. Can you put some data together into a DB with these staging tables and the completed "stored procedures" we provided (Greg)
  2. Send us a backup of the DB so we can call the procedures and do some tests on our side. (Sanjay's Team)
  3. We can then have a technical session and iron out any issues (Greg, Sanjay)
  4. Implement the changes we do into the test environment and run the list of test cases (Sanjay's Team)
  5. Document issues, how to address failures and any workarounds that may be required (Sanjay's Team)
  6. Production preparation (Sitla's team and Justin)
  7. Production Implementation (Sitla's team and Justin )
Items 2, 3, 4 and 5 will have a very quick turnaround as we have done lots of these before.

  1. A SQL Server DB Back-up of MobilityConsoleAHLTST. This is a cutdown Ah Liki Test Database. With Two sets af Processed HH uploads into the Staging Tables so you can run the LT… Stored Procedures.
  2. A SQL Script that will Append the next BATCH of Transactions in August to the LT Staging Tables so if you want to generate more Test Data you can up to a point of using up all the Batch Numbers.
  3. A Spreadsheet that shows the Results of the Test Script being Run Twice Last Night before this back-up was Taken. So ths Data should be immediately Retreivable by calling the LT_ Stored Procedures.

 

Based on the Spreadsheet I sent earlier, in this database I have set the NCS TIMS Start Date SystemControl as 31st July 2020 so I could pick up the Transactions in August.

Also, the Database in a SQL Server 2017 Version Database as I have done the development in our AWS Cloud Server for convenience.

The Ah Liki Server is running SQL Server 2008 R2. All the code is Compliant to this version.
