Subject: New Feature - Separate Access for Inventory Adjustment In and Adjustment Out
Summary:    Bula Team,

We have received the below request from Laucala Bay Pharmacy as a New Feature.

Feature: Separate Access for Inventory Adjustment In and Adjustment Out

Business Scenario 1
Company A is a Bakery Retail outlet. Their operating hours are from 9.00 am to 4.00 pm. Baking is done in the outlet between 12.00 am to 6.00 am daily. They do not stock the Ingredients in the POS system and also don't use the Kit feature due to the conversion factor not being accurate in the Bakery industry as;
  1. There is a lot of wastage of ingredients
  2. Ingredients are measured in grams which is hard to maintain
  3. Ingredients usage may not be exact to grams mentioned in the formula (kit setup)
Once baking is completed, the Supervisor arrives at 8.00 am, does the Stocktake to balance all the ingredients, and uses the Production sheets to do Inventory Adjustment In of the finished Goods. The shop operates normal as they are able to process sales of all finished goods in the system.

After 4.00 pm once the Bakery is closed. The Accountant does the Stocktake, balances the Daily sales, and does Inventory Adjustment Out for the leftover of the Products from the system as this cannot be used the next day. The Roles are separated by 2 staff to control theft.

Business Scenario 2
Company A and Company B are registered businesses and are sister companies as the owners are family members. Both companies are using the same system however it is not linked as they are registered with separate TIN numbers and Company Names.

Both companies borrow stock from each other when they fall short or the delivery from the supplier is late. Since they are family members they trust the person will return the stock once they get the supply. They use Inventory Adjustment In and Out so that a document can be generated for what is borrowed.

At both Companies, the Stock Clerk's responsibility is only related to stock dispatch (Inventory Adjustment Out). Once the stock is returned from the other Company, the Store Manager verifies the stock and does the Inventory Adjustment In. This way there is a separation of duties and theft is prevented.

Vineshwar Prasad
